We at Volocopter are the pioneers of electric air taxis, i.e. aircraft that take off and land vertically (eVTOLs). We bring urban air mobility to life, by getting air taxis and drones off the ground in a way that complements current transportation options in megacities across the globe. Our aim is to offer affordable on-demand air taxi services that fly people to their destination quickly and safely. Job Description

Your mission during this flight:

Working in the APAC Team of Volocopter and reporting directly to the Headquarters in Germany. As office and administration manager, you will work on the further development of the Singapore location and will be in charge of the operational support of the office in all aspects of office management. You are in charge of delivering a flawless first impression to guests and staff alike. The first contact point for daily enquiries at Volocopter APAC, be it in person or by email, you dazzle with your professional and unflappable approach.

Business fluent in English, you make all guests feel valued and welcomed.  Behind the scenes you enable our team in their daily doing, with responsibility for guiding new employees in the first few days, ensuring that the office is impeccably presented and that refreshments are available.

  • You will be the person in charge of managing office and facility membership, payment and changes and operational activities in APAC as well as making sure that employees have stationaries, and snacks, and enjoy the office by maintaining its cleanliness and upkeep
  • You are organizing and booking Business travel of team members, customising and updating the process and policy of business travel
  • You are responsible for Letters and Packages as well as administrative tasks like purchase order creation and ad-hoc employee gift orders
  • You coordinate office-relevant appointments with internal and external stakeholders such as welcoming guests, checking them in, offering refreshments as well as coordinating and assisting with the team events
  • You manage our meeting room system and presentation and assist key members of the team with complex meeting requests
  • You create, prepare and distribute location-relevant information such us Office Rules
  • You will be the first point of contact for new employees in their first few days
  • You will be in charge of the communication with the Volocopter headquarters in Bruchsal regarding office-relevant topics such as sustainability reports, finance and accounting liaison as well as liaison with IT Operations

Check in your professional skills:

  • You have relevant 3 years of experience in an office management environment or in a similar field
  • You are a communicative team player and have a high level of organizational and implementation skills combined with an efficient, solution-oriented, and precise way of working
  • You can work independently with a high sense of accountability and can adapt flexibly and calmly to different situations
  • You possess a friendly, open personality with a "get it done" attitude
  • You are reliable, discreet, and able to work under pressure
  • Business fluent English, both written and spoken, coupled with strong communication skills across all organizational levels

Preferred skills:

  • Knowledge of travel-related documentation, including payments, itineraries, visas, medical, and legal forms
  • Excellent attention to detail and organisational skills
  • Proficient in Microsoft Office and other software
